You will be the face and first point of contact for a vibrant studio environment, ensuring seamless operations and a positive experience for everyone who walks through the door. Your meticulous approach and dedication to providing top-notch service will play a crucial role in maintaining a smooth and efficient workflow for the entire studio.
As the go-to person for all things reception-related, you’ll be instrumental in creating a welcoming and organized atmosphere. You’ll be responsible for managing access control, handling inquiries, and ensuring the smooth flow of information throughout the studio. This role offers a unique opportunity to contribute to the dynamic world of entertainment and work alongside a passionate team of creatives.
This is a 12 months contract, based in Chertsey. The shortlisted candidates will be contacted by COB Friday 18th July.
What You’ll Do:
* Be the welcoming face of the studio, acting as the first point of contact for visitors, vendors, production crew, and internal teams.
* Efficiently handle inquiries and direct visitors to the appropriate departments, ensuring a seamless experience for everyone.
* Manage deliveries and collections, ensuring timely processing and distribution of items.
* Respond promptly and professionally to phone and email inquiries, both internal and external.
* Collaborate closely with the security team to maintain the access control system, issuing and tracking access badges for short-term and long-term use.
* Oversee vehicle pass issuance, adhering to site occupancy limits and ensuring a smooth access process.
* Maintain accurate records of access information, conducting regular audits to ensure data integrity.
* Proactively communicate with the Client Services Manager to anticipate busy periods and address any access-related challenges.
* Manage inventory of essential reception supplies, such as stationery and access card materials.
* Collaborate with the security team to maintain clear communication regarding access permissions and site activity.
* Support VIP visits and on-site events, ensuring a high level of customer service.
* Log and track operational, maintenance, and compliance tasks using the in-house system.
* Maintain a clean and organized reception area, reporting any maintenance issues promptly.
Must-Haves:
* Proven experience in a customer service or front-of-house role, preferably within a studio, media, or entertainment environment.
* Ability to multitask and manage small projects in a fast-paced environment.
* Strong self-motivation and ability to work independently.
* Excellent organizational and time management skills.
* Exceptional communication and administrative skills.
* Proactive problem-solving abilities and a willingness to think outside the box.
* Eagerness to learn and stay updated on current production processes and studio facilities.
* Ability to work Helpdesk operation hours from 7:30 am – 4 pm (some flexibility may be required).
